How does anyone book online with me?

When you're ready to begin accepting appointments online, share the address of your profile with your clients or customers. They visit your profile to book appointments with you.

If you're not sure of what the address is for your profile, login and visit your profile. Its address is always displayed at the top of the page (see below):

Then, a customer chooses which service they want to book by clicking the Book now button for that service. They'll be able to schedule additional services in addition to the original service, too.

What do I do with existing appointments that were scheduled before I signed up?

You can add those to your schedule on Pencil You In, too!

Before you share the address to your profile, use the calendar on your dashboard to fill in all of the appointments you booked before signing up for Pencil You In.

When you do that, Pencil You In will automatically make sure no appointments overlap and affect those existing appointments.

How do I know my appointment has been confirmed?

If you were required to pay a deposit in order to schedule an appointment, your appointment is confirmed as soon as the payment goes through.

On the other hand, if your service provider did not require a deposit payment, your appointment is confirmed as soon as it's scheduled!

How do I change the time for an appointment?

How many appointments can I accept with Pencil You In?

If you've upgraded to Pencil You In Professional, you can accept an unlimited number of appointments each billing period. On the other hand, if you're using Pencil You In Starter, you'll only be able to accept 25 appointments (customers booking themselves or you adding appointments yourself) during each billing period.

How do timezones work in Pencil You In?

All appointments are created in your time zone as the service provider. Even if a customer is in another time zone and schedules with you, appointment times are still displayed and set according to your time zone.

I want to add an appointment on the dashboard. How do I do that?

To add an appointment to your calendar on the dashboard:

  1. Login and click Dashboard.
  2. Choose the day or week calendar perspective.
  3. Hover over the timeslot where you'd like to schedule the appointment and click Add.
  4. Enter the required appointment information.
  5. Click Schedule this appointment! to add the appointment to your schedule.

I need to block off time on my calendar. How do I?

If you need to make parts of your schedule unavailable for appointments, use the dashboard to block off time.

You can block time in 15 minute increments.

To block off a timeslot, hover over that timeslot and click "Block" from the two options that appear.

I need to cancel an appointment. What do I do?

  1. Login and click Dashboard on the top navigation bar.
  2. Click the appointment you want to cancel on the calendar.
  3. Click Cancel this appointment in the appointment's popup.
  4. Click OK in the dialog that appears to confirm that you want to cancel.

How do I change the perspective (day, week, month) on the dashboard calendar?

The dashboard calendar can display your appointments from three different perspectives: day, week, and month.

To change the perspective, use the perspective widget at the top right of the calendar, shown below:

I need to move an appointment. How do I?

On the dashboard, you can move an appointment by dragging and dropping in combination with the different calendar perspectives (day, week, month).

If you simply want to move an appointment from one day to another (and keep the same time), choose the month perspective and drag the appointment to the desired day.

If you want to move an appointment to a different time on the same day, choose the day perspective and drag the appointment to the new desired time.

If you want to move an appointment to a different day and/or time, choose the week view, and drag to another day/time slot.

How do I add my business info to my profile?

You can add your title and the name of your business to your profile.

  1. Login and click Edit your profile in the top navigation bar.
  2. Click the arrow next to Edit your profile in the top navigation bar.
  3. Click Edit your business info on the drop down menu that appears.
  4. Enter your title and/or your company's name.
  5. Click Save your changes.

How do I change my business category on my profile?

  1. Login and click Settings in the top navigation bar.
  2. The General tab will be selected by default. Click the Change button.
  3. Choose your category from the drop down of categories that appears.
  4. Click Save your changes.

You can add links to your Twitter, Facebook, LinkedIn, Flickr, YouTube profiles along with a link to your own website on your Pencil You In profile.

You can also link your Skype username and enjoy click-to-call right from your profile.

  1. Login and click Edit your profile on the top navigation bar.
  2. Click the arrow next to Edit your profile to make the drop down of options appear.
  3. Click Edit your social media links.
  4. Enter whichever links you'd like to add to your profile.
  5. Click Save your changes.

How do I change my cancellation policy?

  1. Login and click Edit your profile on the top navigation bar.
  2. On the right side of your profile, click the Edit your cancellation policy button.
  3. Enter your cancellation policy.
  4. Click Save your changes.

How do I change my profile picture?

If you've never changed your profile picture, you can just click the placeholder image to upload a photo.

If you've changed your profile photo before, click Edit your profile in the top navigation bar. Then, click on Edit your profile photo in the dropdown menu.

You can upload your logo as your profile photo, but there is no way to add your logo to your profile otherwise.

I want to add services to my profile. How do I?

  2. Click the arrow next to Edit your profile and a dropdown of options appears.
  3. Click Add a service.
  4. Enter all the required information about the service (name and price).
  5. Click Save your changes.

  2. Scroll to the service you'd like to update and click on its Admin button. Click Edit

How do I delete a service from my profile?

  2. Click the Admin button under the service you want to remove.

How can I upload a photo for a service?

If photo uploads are enabled for your business category, take the following steps to upload a photo for a service:

  1. Login and click Edit your profile on the top navigation bar.
  2. Click Admin under that service and then click Edit.
  3. Click the Photo tab and click Browse... to find a photo to upload.
  4. Click Save your changes to upload your photo.

How can I prevent the price of a service from being shown?

If you don't want to show the price of a service, you don't have to set a price or you can just set it to 0.00.

Can I create services without prices?

Yes. If you don't want to list a price for a service, don't enter a price when you add the service.

Can I show a range of prices for a service?

Yes. You can show a range of prices for a service like so:

  1. On an existing service, navigate to it on your profile and choose Edit from the service's Admin drop down menu.
  2. Click the Pricing tab.
  3. On the drop down menu labeled, "Is this price exact?" choose "no."
  4. When you choose "no," you'll be able to set the lowest and highest prices for the service.
  5. Click Save your changes to save the price range for the service and refresh how the price shows up for that service on your profile.

How do I require a deposit for a service?

If you've upgraded to Pencil You In Professional, you can require a deposit on a service by doing the following:

  1. Login and click Edit your profile in the top navigation bar.
  2. Under the service you'd like to require a deposit for, click the Admin button and then click Edit.
  3. Click the Pricing tab.
  4. Enter any positive amount other than 0.00 and a deposit will be required for that amount.

How do I require a no-show fee for a service?

If you've upgraded to a Pencil You In Professional account, you'll be able to charge no-show fees in Pencil You In.

You require a no-show fee for a service by setting its no-show fee to an amount other than $0.00.

Do I need to set a duration for a service?

Yes. All services can be as little as 15 minutes long or up to 8 hours in length. The default duration for service is 30 minutes.

How do I begin processing credit and debit card transactions in Pencil You In?

Do I need a merchant account?

No! You don't need to a merchant account to accept deposits and other fees on Pencil You In.

Can my deposit be refunded?

Is a deposit always required?

No. Whether or not you are charged a deposit to schedule and confirm an appointment is up to the individual with whom you've scheduled an appointment. Some require deposits while others don't.

Can I charge a deposit based on service?

Yes! You can set a deposit that is unique to a particular service.

Is a no-show fee automatically charged? How does that work?

The no-show fee attached to a service is never automatically charged.

If a customer did not follow your no-show policy in effect at the time their appointment was scheduled, you'll be able to charge the no-show fee for the service(s) they scheduled.

You will only be able to charge the no-show fee after the time scheduled for the appointment has passed, however.

Can I charge a deposit for recurring appointments, too?

Yes. If a customer wants to schedule recurring appointments for a service (or services) that require a deposit, they'll have to pay the deposit for each recurring appointment in the future when they schedule the original appointment.

Can I charge a no-show fee if a customer has already paid a deposit, too?

Yes--you can charge a deposit and then also collect a no-show fee if the customer doesn't follow your no-show policy.

Note: You will not be able to charge the no-show fee for an appointment until after the appointment's time has passed, however.

Can I accept deposits & fees with a free Pencil You In account?

Deposit & fee payments are only available with Pencil You In Professional for $24.99/month along with unlimited appointment booking and email/text message reminders.

Is Pencil You In free? How does the free trial work?

Pencil You In offers a free (forever) plan with Pencil You In Starter.

With Pencil You In Professional, however, you can try it out for 30 days before paying anything! We know you'll love the service, but we also know how important a test drive can be. Pencil You In Professional's free trial includes all the bells & whistles that you would enjoy normally--including unlimited appointments, text messages and deposit payments.

Are deposits/payments secure?

Yes! All debit/credit transactions are processed using the same strength of encryption used by banks such as Bank of America, Citibank, and Wells Fargo. Card information is transmitted, stored, and processed securely on a PCI-compliant network.

Yes! Pencil You In does daily backups of your appointment data.

What's the web address for my profile?

You send clients to your profile to schedule appointments. The address for your profile is your username in the address http://username.pencilyou.in.

If you have trouble remembering the address for your profile, log in to your account and click Edit your profile in the top navigation bar. Your profile page will always remind you of its address! (See the screenshot below.)

I can't login on the website.

Here are a few things you can try:

  • Is the caps lock key activated on your keyboard? Your username and password are case-sensitive. SallySmith is not the same as sallysmith.
  • Is your password correct? Make sure you're typing it carefully.
  • Have you tried to reset your password? You can reset your password here.

I'm locked out after too many bad login attempts.

I'm not getting email reminders and/or alerts.

Here are a few things you can try:

  • Is your email address correct in Pencil You In? To check, log in to your account and click the Settings link in the top navigation bar. Check what is listed as your email address under the General tab. Is it correct? If not, click the Change button to change your email address.
  • Are Pencil You In emails being marked as spam by your email provider? Be sure to add do.not.reply@pencilyou.in to your address book!

I'm not getting text message reminders or alerts for Pencil You In.

Here are a few things you can try:

  • Verify that text messaging is enabled for your account. Text messaging is only available for customers on Pencil You In Professional.
  • Verify that your mobile phone number is correct in Pencil You In. To check, log in to your account and click the Settings link in the top navigation bar. Is the phone number listed as your phone number under the General tab correct? If not, click the Change button to change your phone number.
